Accounts: ISMail

ISMail accounts are used to store messages, forward messages, create mail groups, and to authenticate users (see Access).

A user may have one or more ISMail accounts on any domain in an ISMail system. Each account is identified by a unique account name, and a password. Each account also has a description. The account description is initially set to the account name but can be changed to any text string.

Each account may optionally:

  • forward messages to other accounts,
  • be assigned a message storage quota,
  • respond to messages with a preset 'auto responder' message,
  • define a unique content filter

More detailed information and options for ISMail accounts are given below.

Domains

Each domain has unique accounts. Accounts having the same name on multiple domain are unrelated. When setting up accounts, make sure to first select the domain.

Account Names

Account names are the same as usernames. Since an account name uniquely identifies an account, the same name cannot be used more than once within a domain (see below for the names of certain Special Accounts).

In a multiple domain system, however, the same account name can be used within different domains. If an account name is used in different domains, there is no relation between these accounts (they are not shared). Further, there are no accounts that share information across domains.

Special Accounts: Administrative Accounts

Two default accounts exist for each domain: 'postmaster' and 'root'.

The postmaster account is used to receive administrative mail about the mail server (bounce messages, etc.). The root account is also used for administrative mail.

These accounts must not be deleted, and should be checked regularly for messages.

The additional account 'imappublic' is defined as an account for public messages for versions of ISMail which support this. The pseudo-accounts, 'authuser' and 'anyone' are reserved names and can not be created.

Special Accounts: 'Unknown User' Account

The special account 'nobody' may be created in one or more domains to accept messages addressed to unknown users (undefined accounts) within a domain. If the 'nobody' account exists, all such messages are delivered to it. If this account does not exist, all messages to unknown users are bounced back to the sender.

Account Disable

An account may be disabled without deleting the account information. Disabled accounts can be accessed to read mail, but no new mail can be sent to them.

Disabled accounts can later be re-enabled without changing or re-entering any account information.

Account Quotas

The maximum storage for messages in a particular account (or domain or system -- see Domains) may be set using a quota.

A quota of '0' means 'no maximum'.

Autoresponder

A simple text message may automatically be sent as a response to any message by selecting the 'Autoresponder Message' checkbox and entering the text message.

A specific subject line may be setup by entering text into the 'Autoresponder Subject' box. If this box is left empty, the mail server will automatically insert a subject line.

Content Filter

A content filter may be set for a particular account by clicking the 'Content Filter' button. See the Content Filter page for more information about these filters.

Adding An Account

To Add an Acount:

  1. Right-click the ISMail Manager program icon located in the lower-right portion of the screen (notification area of system tray), and select 'Open'.
  2. Select the 'Accounts' tab.
  3. Select the Domain for the Account.
  4. Press 'Add Account' and enter the Account Name and click 'OK'.
  5. If you wish to set the account's password, type it into the Password box. Otherwise, the default password value will be used.
  6. Click 'Apply'.

Deleting An Account

To Delete an account:

  1. Right-click the ISMail Manager program icon located in the lower-right portion of the screen (notification area of system tray), and select 'Open'.
  2. Select the 'Accounts' tab.
  3. Select the Domain for the Account.
  4. Click on the Account that you wish to delete.
  5. Press the 'Delete Account'.
  6. Click 'Apply'.

Changing An Account Password

To change an Account Password:

  1. Right-click the ISMail Manager program icon located in the lower-right portion of the screen (notification area of system tray), and select 'Open'.
  2. Select the 'Accounts' tab.
  3. Select the Domain for the Account.
  4. Click on the Account whose password is to be modified.
  5. Type the new password in the Password box.
  6. Click 'Apply'.

Changing An Account Description

To change an Account Description:

  1. Right-click the ISMail Manager program icon located in the lower-right portion of the screen (notification area of system tray), and select 'Open'.
  2. Select the 'Accounts' tab.
  3. Select the Domain for the Account.
  4. Click on the Account whose description is to be modified.
  5. Type the new description in the Description box.
  6. Click 'Apply'.

Forwarding Messages

To forward messages received by an account:

  1. Right-click the ISMail Manager program icon located in the lower-right portion of the screen (notification area of system tray), and select 'Open'.
  2. Select the 'Accounts' tab.
  3. Select the Domain for the Account.
  4. Click on the Account whose mail is to be forwarded.
  5. Enter the name of the account to be forwarded to in the 'Forward To' box. The account specified by 'Forward To' will receive all mail sent to the selected account. Note that a full email address is required in the 'Forward To' field (e.g. 'joe@domain.com').
  6. If you also wish to keep a copy of the message in this account, click 'Save Copy'.
  7. Click ''Apply'.

Adding Mail Groups

To Add a Mail Group:

  1. Right-click the ISMail Manager program icon located in the lower-right portion of the screen (notification area of system tray), and select 'Open'.
  2. Select the 'Accounts' tab.
  3. Select the Domain for the Account.
  4. Click on the Account name of the mail group (or add a new account to use as the mail group as described above).
  5. Enter the names of the accounts (i.e. email addresses) belonging to the mail group in the 'Forward To' box. Separate each mail address by a comma and a space (e.g. 'joe@domain.com, fred@domain2.com'). Each of these accounts will receive a copy of all messages sent to the mail group account.
  6. If you also wish to keep a copy of the message in this account, click 'Save Copy'.
  7. Click 'Apply'.

Setting Account Quotas

To set a quota for an account:

  1. Right-click the ISMail Manager program icon located in the lower-right portion of the screen (notification area of system tray), and select 'Open'.
  2. Select the 'Accounts' tab.
  3. Select the Domain for the Account.
  4. Click on the Account name of the mail group (or add a new account to use as the mail group as described above).
  5. Enter a decimal value (or use the arrow controls) to enter a value in the 'Account Quota' box. If the message storage size exceeds this value, no additional messages will be accepted for the account until the storage size is brought below this value. The account may continue to be accessed to retrieve, send, and /or delete messages.
  6. Click 'Apply'.

Disabling an Account

To disable an account:

  1. Right-click the ISMail Manager program icon located in the lower-right portion of the screen (notification area of system tray), and select 'Open'.
  2. Select the 'Accounts' tab.
  3. Select the Domain for the Account.
  4. Click on the Account name of the mail group (or add a new account to use as the mail group as described above).
  5. Select the 'Disable Account' checkbox.
  6. Click 'Apply'.

Setting an Autoresponder Message

To set a autoresponder message for an account:

  1. Right-click the ISMail Manager program icon located in the lower-right portion of the screen (notification area of system tray), and select 'Open'.
  2. Select the 'Accounts' tab.
  3. Select the Domain for the Account.
  4. Click on the Account name of the mail group (or add a new account to use as the mail group as described above).
  5. Select the 'Autoresponder Message' checkbox.
  6. Enter the text of the response message in the text box.
  7. Optionally, enter a subject line in the 'Autoresponder Subject' text box. If no subject line is entered, the mail server will supply a default subject line.
  8. Click 'Apply'.
